Your phones are either the practice's biggest growth engine or its biggest leak, and the difference almost always comes down to whether your team is working from an actual script or improvising every call. I pulled these lines straight from the training I use with my own front desk: the opening, the no-screening rule for insurance objections, the language that locks in a deposit at scheduling, and the exact words for a cancellation call and a no-show follow-up.

None of it is about being pushy. It's about not leaving the outcome of a call to whatever a team member happens to say in the moment, especially on the calls that decide whether a patient ever gets into a chair.

Print the PDF for the front desk, or use the Word file to adjust the wording and reprint it in your own voice.

What's inside

  • Answering the phone: the scripted opening and the four-step framework
  • Handling insurance questions without screening callers
  • Locking in the appointment: the deposit script and value-building lines
  • Responding to a cancellation call and the reschedule pivot
  • Protecting red-light (doctor-time) appointments
  • No-show follow-up, from the first missed visit to a chronic offender
  • Confirmation text and checkout language

How to use it

  1. Read every script out loud with your team before you post it, and edit the Word file until it sounds like your practice, not a script read cold.
  2. Fill in every bracket: practice name, doctor name, and the amounts you actually collect at scheduling.
  3. Post the PDF at the front desk or hand it out at your next team meeting.
  4. Role-play the cancellation and no-show sections until nobody hesitates on the phone.
