Every dentist who goes out of network fears the same thing: the schedule emptying out the day the change takes effect. It doesn't happen that way when you treat the transition like a project with a timeline instead of an announcement made on a Tuesday. This is the letter to send patients, the front-desk script for the question they'll ask next, and the 90-day sequence that holds the whole thing together.

Do the math on the plan you're leaving before you set a date. Once you know your number, use the sequence here: train the team at T-90, mail the letter at T-60, start the chairside conversations at T-30, then track your new-patient calls, cancellations and case acceptance weekly starting on day one.

What's inside

  • The patient letter template, ready to adapt with your dates, plan name and practice details
  • The 90-day timeline: T-90 team training, T-60 the letter, T-30 conversations and the front-desk script
  • The "are you in network?" script for the front desk
  • What to track weekly after day one, and what a normal amount of churn looks like

How to use it

  1. Confirm the break-even math on the plan you're leaving before you set a date.
  2. Fill in every bracket in the letter: date, plan name, phone number, doctor and practice names.
  3. Count backward from your go-live date: T-90 for team training, T-60 to mail the letter, T-30 for chairside conversations.
  4. Print the front-desk script and role-play it until the team can say it in their own voice.
  5. Pre-schedule recare for patients on that plan before day one, then start the weekly tracking table.
