Before you spend another dollar chasing new patients, pull the lapsed-patient report sitting in your practice management software. Most general practices have 300 to 700 patients who haven't been in for 18, 24 or 36 months, and almost none of them ever get a phone call. These are the templates for the four-touch sequence I recommend to reach them: text, email, then a phone call with a voicemail script for whoever doesn't pick up.
Your front desk will not run this campaign on its own initiative between today's ringing phone calls. Hand them the exact wording, fill in the brackets, and either dedicate someone a few hours a week to it or automate the first two touches and put a human on the third.
What's inside
- The four-touch sequence at a glance: timing and channel for each touch
- Touch one: the day-one text message
- Touch two: the three-day email, with a spot to recap the patient's last visit
- Touch three: the one-week phone call script, reused as your voicemail message
How to use it
- Pull your lapsed-patient report and sort it by last visit date before you send anything.
- Fill in every bracket: patient name, team member name, doctor name, and the last procedure and tooth number if you can pull it from the chart.
- Send touch one the same day you pull the list, touch two three days later, and touch three a week after that.
- Track how many of each batch reschedule, and compare that against what you're currently spending on new-patient marketing.
