Office manager

The team member responsible for day-to-day practice operations, freeing the owner from most administrative management.

An office manager runs the day-to-day administrative operations of a practice (staffing, scheduling oversight, vendor relationships, KPI tracking, and often the front desk team's direct supervision) acting as the practice's second-in-command so the owner-dentist isn't personally handling every operational decision. In a well-run practice, the office manager is the person who actually keeps the systems and SOPs running, not just the person who reacts to problems as they surface.

The transition from clinician-who-manages to owner-who-delegates almost always runs through this role. An owner who has trained and trusts a genuinely capable office manager can step back from day-to-day administrative firefighting and focus on clinical work, growth decisions, or eventually building toward a CEO role over multiple locations; an owner without one stays the bottleneck for every staffing question and vendor call indefinitely.

Training an office manager well means giving them real authority alongside real accountability: a checklist of daily, weekly and monthly responsibilities, KPIs they specifically own, and the standing to make decisions without needing the owner to sign off on every one.
